Notifications
TimeTuna sends emails to both guest and host around every booking. SMS verification is optional.
Email types
- Confirmation sent to the guest immediately after a successful booking, and to the host as a "new booking" notification. Includes the meeting details, the location link (Google Meet, Teams, Zoom, address, or phone), and a calendar invite attached as
.ics. - Reschedule sent when the guest reschedules via the link in their confirmation email. The original event is updated, not duplicated.
- Cancellation sent when the guest or host cancels. Both sides are notified, and the calendar event is removed.
- Reminder a separate email a configurable number of hours before the meeting starts. Set the reminder window in the page editor.
ICS attachments
Every confirmation email arrives with a
.ics file attached. Guests who use Apple Mail, Outlook, or other clients can double-click it to add the meeting to their calendar, even if they did not click any link.Customizing emails
Per booking page you can customize:
- Confirmation email subject line.
- An additional message inserted into the body (a Loom link, prep instructions, a Zoom backup link).
- Reminder timing (none, 1 hour, 24 hours, multiple).
Brand colors and logos in emails follow your booking page settings.
SMS verification
Optional phone field on the booking form can be set to Required, verified. Guests receive a 6-digit SMS code and must enter it before they can complete the booking. Useful to prevent fake bookings or no-shows.
Deliverability
TimeTuna sends emails through Loops.so on a warmed-up domain. If a guest reports that they did not get the email, check spam first, then verify the address on their booking record was typed correctly. See Email not received.
Host notifications go to your account email
Host confirmation emails are sent to the email address on your TimeTuna account, not to the calendar your bookings are written to. Update it under Settings → Profile if you need to.
